Multi-enterprise Management
Introduction
SigningHub enables users to operate across multiple enterprises through its Multi-Enterprise Support feature. This capability allows a single user account to be associated with multiple enterprises, providing seamless access to documents, workflows, and configurations across different organisational contexts without requiring separate accounts.
With Multi-Enterprise Support, users can efficiently collaborate across organisations while maintaining enterprise-level segregation of data and workflows.
How it works?
Send an invitation to add a user to an enterprise.
Accept or decline an enterprise invitation as an invited user.
Switch between available enterprises at any time.
Configure a default enterprise to be selected after successful login.
Remove a user from an enterprise as an enterprise administrator.
Invite User to an Enterprise
To invite a user to your enterprise:
Navigate to “Configurations” from the left panel.
Click “Users” under the “People” section in the “Enterprise Configurations”.
In the “Invitations” section, click “Send an invitation”.
Enter the Name, Email, and Role of the user.
Click “Submit”. An invitation email and web notification will be sent to the invitee.

If user registration is disabled at the system level, invitations cannot be sent to unregistered users.
Invitations can also be sent to users who are already part of other enterprises.
Accept or Decline an Invitation
To manage enterprise invitations:
The user must log in to their account.
From the dashboard screen, if the user has an invitation from another enterprise, a switch icon will appear next to their name in the left navigation panel.
Click the switch icon to open the dialogue, which lists the user’s invitations and current enterprises.
Open the “Invites” section.
Select the invitation and click “Accept” or “Decline”.

Switching Between Enterprises
To switch your active enterprise:
Click the switch icon next to your name in the left navigation panel.
The dialogue will list the user's invitations and the current enterprises. Open the “Switch Enterprise” section.
Select the desired enterprise and click “Switch”.

Set Default Enterprise
To set a default enterprise:
Navigate to “Configurations → Personal Information” under “Personal Configurations”.
Expand the “Enterprise” section.
Enable the “Set this enterprise as default” toggle to set the currently logged-in enterprise as default. Upon login, the user will automatically be logged into the default enterprise.

To set another enterprise as the default enterprise, switch to the desired enterprise and use the 'Set this enterprise as default' toggle.
Multi-Enterprise Behaviour
The system applies enterprise-specific rules for user access, document visibility, and settings based on the active enterprise context.
Login Behaviour
Upon the first successful login, the browser remembers the user’s account along with the associated enterprise information. During the initial login, the user is directed to their default enterprise. If the user switches between multiple enterprises, those enterprises are also remembered and listed for future access. Upon logout, the user is redirected to the “Choose an account” screen, where all remembered accounts, along with their respective enterprises or individual accounts, are displayed. Selecting any of these combinations logs the user directly into the corresponding account and enterprise.
User Behaviour
For users associated with multiple enterprises, the system follows the rules below:
If a document is shared by a sender from Enterprise A, and the recipient is a member of both Enterprise A and Enterprise B, the document will only be visible to the recipient when they are logged in to Enterprise A.
If a document is shared by a sender from Enterprise C, and the recipient is a member of Enterprise A and Enterprise B, the document will be visible to the recipient in both Enterprise A and Enterprise B.

Personal Settings Behaviour
For users who are part of multiple enterprises, personal settings behave as follows:
Non-Enterprise-Specific Settings
The following configurations remain the same regardless of the enterprise the user is logged into:
Personal Information - Name and Email
Active Sessions
Authorized Devices
Legal Notices
Cloud Drives
Notifications
Delegation
Two-Factor Authentication
Activities
Enterprise-Specific Settings
The following configurations vary based on the enterprise the user is currently logged into:
Personal Information - Mobile Number, Company Name, and Job Title
Templates and Library
Signature Settings
User Certificate
Reports and Usage
SmartForms
Plan and Billing

Manage Enterprise Membership
To manage a user’s membership within an enterprise:
Navigate to “Configurations → Users”.
Select the user and click “Delete” in the right panel.
Confirm the action.

Upon user deletion, if the user belongs to multiple enterprises, they are removed only from the current enterprise, even if the 'Delete user permanently' option is configured, and the system will not delete the user entirely from the system.
Upon user deletion, if the user belongs to a single enterprise, they are converted into an individual user with a default service plan.
If a user belongs to multiple enterprises, the system allows a user to be removed from the default enterprise and automatically assigns another available enterprise as the new default.
Users cannot leave an enterprise on their own. Only Enterprise Owners or SigningHub Administrators can remove users from an enterprise (based on permissions). Users can only delete their account, if permitted.
